Administrative Assistant I, II, III

Position Title:                                              Administrative Assistant I, II, III

Department:                                                Multiple Departments

Employment Term:                                    1 Year (min. 10 hours - max. 20 hours weekly)

Reports to:                                                   Assistant Program Director(s)

Salary:                                                          *Unpaid Internship / Volunteer*

 




Duties & Responsibilities:

  • Provides administrative support to ensure efficient operation of the organization and subsidiary departments within the organization.

  • Answer phone calls, make phone calls, schedule staff meetings, 

  • Being highly dynamic, entrepreneurial, resourceful, detail-minded, organized, capable of working under pressure, and committed to delivering the best, all while maintaining a great sense of humor and team collaboration throughout the process. 

  • Exhibits polite and professional communication via phone and e-mail.

  • Start/begin virtual staff meetings via Zoom or Microsoft Teams

  • Using SharePoint, Outlook Calendar, and Microsoft Planner to assign tasks, send reminders, and share updates with the entire organization.

  • Work with all/majority of the departments in the organization to ensure that…

  • Provides information by answering questions and requests

  • Anticipates the needs of the team/organization to ensure a seamless and positive experience. 

  • Schedule reservations for physical team meetings, hangouts, etc.

  • Work on other projects as required by the organization.


Preferred Qualification and Skills:

  • Positive attitude, vibrant, energetic, willingness to bring new ideas and work in a fast-paced environment. 

  • Must be willing to work independently.

  • Confident in speaking with new people from diverse backgrounds.

  • Detail-oriented with strong organizational, communication, and time-management skills.

  • Resourcefulness, creativity, and problem-solving skillset

  • Strong cultural awareness and sensitivity

  • Demonstrate use of computer applications such as Microsoft Word, Excel, PowerPoint, Microsoft Teams, and Outlook.

  • Must be comfortable with deadlines and have a reliable working computer or laptop.

  • Ability to compose and edit correspondence, reports, and summaries

  • Ability to maintain confidentiality and exercise discretion

  • Open minded and eager to learn new skills and software usage. 




Requirements: 

  • Able to attend mandatory training

  • Able to participate in team meetings 

  • Some flexibility with nights and weekends 


Working Environment: 

This internship opportunity is 100% virtual. Volunteers will utilize Microsoft Teams and Outlook to communicate with their team members.


*Although this is advertised as an unpaid volunteer internship opportunity, students can use this opportunity to receive credits for their courses or Capstone programs. Stipends will be provided to students based on program funds.
