Event Coordinator – LadiesT.A.L.K Conference

Position Title:                                              Event Coordinator – LadiesT.A.L.K Conference

Employment Term:                                    1 Year (min. 10 hours - max. 20 hours weekly)

Reports to:                                                   Assistant Program Director

We'd love for you to join our team and plan for our upcoming virtual LadiesT.A.L.K Conference: Women in Leadership, where women from different paths of life come together to gain insight on what it means to be a leader, why women need equal access to opportunities, and the future of leadership for women around the world. 


Duties & Responsibilities:

  • Supporting events management team on both internal and external virtual and in-person events.

  • Strategically plan with event leads on how to mobilize and gather participants worldwide.

  • Being highly dynamic, entrepreneurial, resourceful, detail-minded, organized, capable of working under pressure, and committed to delivering the best, all while maintaining a great sense of humor and team collaboration throughout the process. 

  • Being interested in the virtual event landscape, up on current trends, and ideation for delivering virtual events.

  • Assisting events management team with administrative tasks, including but not limited to:

  • Creating registration forms through Eventbrite or Microsoft Forms and tracking event attendance using various platforms such as Eventbrite and/or Microsoft Dynamics.

  • Manage all event registrations, guest lists and VIP invitations and requirements.

  • Manage event timelines, milestones, and event run sheets.

  • Opening invoices and tracking payments from vendors.

  • Sending emails, making phone calls, and communicating with potential event speakers, vendors, and sponsors. 


Preferred Qualification and Skills:

  • Positive attitude, vibrant, energetic, willingness to bring new ideas and work in a fast-paced environment. 

  • Some knowledge of virtual or in-person event planning.

  • Demonstrate use of computer applications such as Microsoft Word, Excel, PowerPoint, and Microsoft Teams.

  • Detail-oriented with strong organizational skills.

  • Must be comfortable with deadlines and have a reliable working computer or laptop.

  • Must always present professional demeanor.

  • Ability to thrive in a fast paced, creative environment and workplace while contributing to a well-respected, high functioning group of go-getters.


Requirements: 

  • Attend mandatory orientation and training. 

  • Able to participate in team meetings: Teamwork and collaboration will be necessary for success in this role. 

  • Some flexibility with nights and weekends especially for urgent tasks and deadlines.


Working Environment: 

This internship opportunity is 100% virtual. Volunteers will utilize Microsoft Teams and Outlook to communicate with their team.

*Although this is advertised as an unpaid volunteer/internship opportunity, students can use this opportunity to receive credits for their courses or Capstone programs. Stipends can/will be provided to students based on program funds.
